Book or Modify Day Use Reservations

Stay is enhanced to allow users to book day use reservations using package rate plans. Previously, users could not book day use reservations using package rate plans.

To support this enhancement, the following changes have been made:

Book a Reservation Screen

When users select the duration of a reservation as 0 nights and click Check Rates in the Book a Reservation screen, the package rate plans are displayed for selection.

Room Allocation

  • The room allocation count will not decrease when room is assigned for day use reservation.

  • The room assigned for a day use reservation can be assigned to another day use reservation.

Day Use Indicator

The Day Use indicator will be displayed in the following areas and when hovered upon, the following message is displayed: This is a day use reservation.

  • Search screen

  • Reservation screen

  • Batch Operations ➜ Check-In

  • Batch Operations ➜ Settle & Check Out

Deposit Collection

  • When there is a deposit schedule for a day use reservation, a warning message, Reservation has a deposit due, will be displayed.

  • When a deposit is required, this will be prompted to the associate, and they will be required to collect payment immediately.

  • When there are multiple deposit schedules, all the schedules will be listed to be collected before check-in.

  • When a user overrides the deposit amount, the deposit will be collected for the overridden amount and guests can proceed with the check-in.

  • When a user clicks the Check-In button, all the deposit schedules will be listed.

Check-In Confirmation

When checking in a day use reservation, the Post Charges for Day Use pop-up screen appears with the following message: You are about to check in the guest to a day use room. Room charge and scheduled recurring charges (or) add-ons will automatically post to the folio at the time of check-in. When users click Confirm, the charges are posted to the folio. When users click Cancel, the check-in process will be terminated.

The charges posted to the folio include fixed package components with Every Night, First Night Only, and Last Night Only frequencies and types, Before Date Roll and After Date Roll.

For allowance components, when the frequency is set as Per Night or Per Stay and when the Include Arrival or Include Departure option is selected, the item is considered as an allowance else it is posted as a charge. Additionally, when the frequency is set as Custom and when the First Night, Last Night, and Departure Day option is selected, the item is considered as an allowance else it is posted as a charge.

Batch Check-In

When one or more day use reservations are selected for batch check-in, the Post Charges for Day Use pop-up screen is displayed. In the Batch Check-In tab, when there is a deposit due for any of the reservations, the reservation cannot be selected. An icon is displayed for the reservation which displays the following message when hovered upon: Deposit due is pending.

Priority Indicators for ETA and ETD

The priority indicators for ETA and ETD are displayed based on the day use check-in and check-out time configured for the property.

Housekeeping Services Upon Check-Out

When a day use reservation is checked out, the status of the room assigned to the reservation is updated to Vacant-Dirty in Stay and a Check-Out and Check-Out Inspect service is automatically created for the room.

Modify Stay

Users can modify a multi-night reservation to a day use reservation, and a day use reservation can be modified to a multi-night reservation.

Reinstate Reservations

A single-night reservation marked as No Show Guaranteed can be reinstated.

Guest Mobility

When a day use reservation is successfully checked in, the charges are directly posted to the reservation folio. The Check-In Confirmation pop-up screen to post charges will not be displayed.

Move Reservation

When a future day use reservation is moved to another property and when the destination property does not have the Day Use Rooms feature setting enabled, the message, Move reservation is not feasible as destination property does not support day use stays, will be displayed.

For day use reservations whose stay date matches the current property date of the destination property, the reservation will be moved to the destination property for Bar and Rack rate plans even when the Day Use Rooms feature setting is disabled.

Copy Reservation

Day use reservations created using package rate plans can be copied.

Share Reservation

Day use reservations created using package rate plans can be shared.

Overbook Reservation

Day use reservations can be overbooked based on the following existing permissions:

  • OverbookingHotel

  • OverbookingRoomType

  • OverbookHotelAvailLimited 

  • OverbookRoomTypeLimited

Universal Alerts

An universal alert for property, email, and reservation will be displayed for day use reservations made on the settings configured for the property.

Reports

When a day use reservation is created with a package rate plan, the value, Yes, will be displayed in the Day Use column of the following reports.

  • Arrivals

  • Departures

  • Reservations

ACRS Reservations

When day use reservations are created using package rate plans through ACRS, the reservation is created in Stay, and the Day Use indicator is displayed.
